Evertrail Adventure Pvt. Ltd. is one of the best trekking, tour, and expedition companies in Nepal. Itself being registered under various tourism governing bodies, the Nepal Tourism Board (NTB) and Trekking Agencies Association Companies (TAAN), here are the terms and conditions that bind us together.
Governed by the laws of Nepal. Please go through these carefully before you officially book Himalayan trips with us, so that come into action to resolve any misunderstanding, legal issues, disputes, or unexpected incidents beyond our control that may arise during the trip.
The Contract
The terms and conditions apply only after the Evertrail Adventure Pvt.Ltd accepts the reservation on receipt of the required deposit or full amount. We do have flexibility in increasing or decreasing the package prices, but do not worry, there will be prior notice.
However, other than the terms and conditions expressed herein, we will not be held liable for any warranty, collateral agreement, agreement, or description of services or conditions made before.
Bookings and Deposit Requirements
We do accept online bookings, or you may choose to visit us at Himalayan View Lane, Boudhanath, Kathmandu, Nepal. To secure your booking, fill the form with your correct information as stated in your passport and submit via the website or email us with the required deposit amount.
For a trip to Nepal, it is 10% of the trip; for Tibet and Bhutan, it is 50%; and prices are in USD. A 3.5% transaction charge may apply, payable via bank transfer, credit card, and now online (QR) as well. Wait for the confirmation invoice or email thereafter.
Trip Cancellation and Refund Policy
We at Everetrail Adventure Pvt. Ltd. strictly adhere to a fair trade policy. Our pricing is transparent and is without any hidden expenses or charges, as are the cancellation fares and refund, which are as follows for you to go through sincerely:
Company Cancellation
We offer fixed departures. The cancellation by the company is only in the event of unforeseen circumstances that are beyond human control, such as natural disasters (floods, landslides, and avalanches), political changes, or an event that concerns your safety and well-being.
On such occasions, expect a full refund of the deposited amount, or you are also free to choose an equal-value trip within the year, but please be clear that there won’t be any refund for unused services or cancellation midway through the trip, tour, or expedition.
Cancellation by the Clients
In case you need to cancel the trip, it is a must that you provide a valid written notice acknowledged by the company via email or submit it at our office. Some cancellation fee may apply, so it is always better to purchase a comprehensive travel insurance:
- The deposited amount will be forfeited on cancellation 30 days before the trip departure date, or you can reserve your seat for a similar package within a year.
- If cancellation is made 15-30 days before, 50% of the total package cost is refundable.
- If cancelled less than 15 days before the departure, a 100% cancellation charge applies, and there is no refund.
- No refund for unused services provided by the company, such as meals, lodges, transports, or any others.
Changes in the Itinerary
Adventure in the Himalayas is weather-dependent, which is further known to be notoriously unpredictable at high altitudes. So make sure you separate some buffer days in case of flight delays, cancellations, and other logistical challenges or at least pick the itinerary that allows you to remain flexible to unpredictable Himalayan weather.
While we do our best to make sure you complete your Himalayan trip as planned and also help you make alternative arrangements, such as a chartered helicopter or overland trip instead of a mountain flight to Lukla and vice versa, it may incur some additional cost, but we are not the ones to be held responsible for it.
Essential documents
Tourists across the globe, except Indian nationals, must obtain a visa to visit Nepal. For this, you would need a passport with at least six months of validity beyond the duration of the trip. If you are journeying inside Nepal’s national park, conservation areas, and restricted areas, it is mandatory that you also get the respective permits, most of them available online now.
On booking with us, while we do manage all the essential permits, including those for travelling, trekking, and visiting Tibet and Bhutan, the visa is for you to obtain, which in Nepal is available on arrival at the Tribhuvan International Airport (TIA) in Kathmandu and various entry points such as Sunauli / Belahiya (Rupandehi) and Raxaul / Birgunj (Parsa).
Risk and responsibility
Any sort of Himalayan trip carries inherent risks such as personal injuries, illness, or altitude sickness, which are beyond one’s control or prediction. While we do put your safety at the forefront and take all the precautions to prevent any such, and also assist you in arranging emergency evacuation in case of need, it is for you to acknowledge the potential danger.
I.e., Everetrail Adventure Pvt. Ltd. and its associates, including its guides, porters, and other staff, would not be held accountable for any such scenarios, including loss or theft of goods, fatal challenges, and other irregularities that are common in the Himalayas.
Responsible Tourism and updates on terms and conditions
We try to leave every trail better than we travelled through before. Strictly adhering to eco-friendly travel and tourism, we believe respecting the local culture, customs, and nature is only the bare minimum and expect the same from you. If found involved in any such activities with a negative impact on social norms, values, and nature, we do have the right to terminate the trip.
